We’re excited to welcome you to the August 2021 Airport Experience Conference. As you prepare to visit, please know that we’ve made some updates to follow the guidelines issued by CDC, state and local officials. Ensuring the safety of all exhibitors, attendees and staff at our event is our top priority and we’ve developed a full health and safety plan. Additionally, we are working with our travel partners and the Gaylord Texan to protect your health and provide you with a safe and productive environment for you to conduct business.
 
We are taking extra precautions beyond those mandated by government and local authorities, including requiring face masks be worn by all persons entering the show, without exception.

The AXN team has put together some important tips for both exhibitors and attendees to help you prepare for the show.

 
BEFORE YOU ARRIVE
  • Have you completed a self-assessment and are you symptom free? If you feel sick, please stay home. You can refer to the cdc.gov website for any questions on COVID-related symptoms.
  • Upon registering to receive a badge to attend the AX Conference, you will be asked to acknowledge and accept our Terms and Conditions. Please read thoroughly to be sure you understand our show policies.
  • Advance registration is strongly encouraged. Have your digital or print confirmation ready when you arrive – the more prepared you are, the faster and safer entry will be.
  • Please make sure you have a face mask; this is required at all times.
  • Before the doors open, we will conduct inspections to ensure the venue is safe, clean and ready for business.
 ARRIVING AT AXC
  • We are taking additional measures on show site to ensure your health and safety at AXC 2021. Please allow extra time when arriving at the Gaylord Texan and making appointments with your vendors.
  • No hugs or handshakes this year. All exhibitors and attendees will be encouraged to maintain distance while networking and abstain from handshaking and physical contact.
  • If any queuing is anticipated, social distancing will be maintained through use of floor markings and relevant signage.
  • Transparent barriers will be placed on the registration counters for enhanced safety and our staff will regularly clean all equipment.  
INSIDE THE CONFERENCE
  • Face masks will need to be worn inside the show at all times. Please make sure you have a face mask with you.
  • Follow all recommended health and safety measures, including staying 6 feet away from one another; washing your hands often; and covering your cough or sneeze.
  • We’ve designed the show to allow for social distancing, including spread out exhibits and increased aisle widths. 
  • Specific health and safety signage will be prominently displayed to remind attendees and exhibitors so that we can reduce risk together.
  • Seating areas will be properly distanced.
  • Waste management will be enhanced in all areas taking particular care of mask and PPE collection and disposal.
  • Enhanced, deep cleaning before, during and after our events, working with venue partners to ensure the highest standards of hygiene and cleanliness. This includes continuous sanitization throughout the course of an event, with a focus on high-touch areas such as door handles, restrooms and food and beverage areas.
  • If you feel sick unexpectedly at the show, medical personnel will be onsite and available to help individuals who are feeling unwell.

Ensuring the safety of all exhibitors, attendees and staff at our events is our top priority and we will continue to work closely with the Gaylord Texan, Dallas officials and CDC guidelines to comply with all necessary measures to produce an event that’s safe and productive for all participants.

We are working as a collective industry to enable events and trade shows to open safely by following essential safety guidelines that adhere to the best medically backed scientific practices for the safety and well-being of attendees. Additionally, we are working with our travel partners, venue and host hotel to protect your health and provide you with a safe and productive environment for you to conduct business.

Revised Event Formats

  1. Physical Distancing - We will follow and closely monitor new professional/social distancing measures.
  2. Registration - Advanced registration is strongly encouraged. Badge pick up will be managed in a socially distanced format.
  3. Face Masks - Will be required at all times during the show. Mask Ambassadors will monitor and assist where needed.

Increased Cleaning & Hygiene

  1. Venue Deep Clean - The Gaylord Texan will be deep-cleaned at night and maintained daily by a GBAC Gold Standard team.
  2. Enhanced Clean Space - Exhibitors will be encouraged to regularly clean their exhibit area between appointments. Public spaces will be regularly monitored and surfaces and touchpoints cleaned throughout the day.
  3. Hand Sanitizers - Sanitizer stations will be positioned at key locations throughout the Convention Center and at all local adjoining hotels
  4. Waste Management - Waste management will be enhanced in all areas taking particular care of mask and PPE collection and disposal.
  5. Personal Contact - All exhibit and attendees will be encouraged to maintain distances while networking and abstain from handshaking and physical contact.

Clear, Visible Communications

  1. Pre-Event Communications - Health and safety measures specific to the AX Conference will be communicated and updated often on our event website, via email and social media channels.
  2. AXN Staff Support - The AXN team will be prepared to encourage and enforce all behaviors listed above while addressing any concerns brought forth throughout the event.
  3. Event Signage - Specific health and safety signage will be prominently displayed to remind attendees and exhibitors so that we can reduce risk together.
